This position will require a 2-3 month paid probationary period to assess suitability in the role. Once hired on, the salary is $50k – $75k, based on experience. Benefits include paid disability and unemployment plus two weeks of paid vacation per year.

Realty Collective Executive Assistant Job Description

A Realty Collective executive assistant should be intelligent and well-spoken with professional communication skills, an entrepreneurial spirit, and experience in both an office and a virtual office environment. They must be extremely organized, detail- and deadline-oriented, forward-thinking, proactive, a creative problem-solver, a successful multitasker, and able to effectively manage a remote administrative team. In addition, the executive assistant must be equally comfortable taking initiative and taking direction. Brooklyn-based or knowledge of Brooklyn strongly preferred. Experience or interest in real estate is strongly preferred. Project management experience is a plus. Equal Opportunity Employer. 

A Typical Day

A typical day will involve deftly switching among different projects and the EA should feel comfortable self-prioritizing tasks that will be immediate, ongoing, and recurring. That might look like making daily check-ins and assigning tasks to virtual assistants (VAs) while simultaneously developing streamlined content automation processes within our content management system (Basecamp), texting the company President an address, and answering a landlord query. Because so much of our work involves countless moving pieces, details are incredibly important here, so we’d love a stickler with a great memory and solutions-oriented mindset. Right now, the position will be virtual but will likely move to be based out of our Red Hook, Brooklyn offices. 

Who We’re looking For

This is a temporary position that will hopefully become permanent for the right person. During the trial period, the EA will be paid an hourly rate. If the position becomes permanent after an 8-week trial period, salary range will be $50k – $75k based on experience.

While the majority of the standard work hours will be 9-5 Monday through Friday, there will be situations requiring weekend work or sporadic administrative work during non-standard hours due to the always-on nature of the real estate business. We’re looking for someone who can operate well in this kind of non-traditional environment who considers themselves a go-getter, unafraid of the grind, and assertive enough to take the lead on reminding the company President or other staff of time-sensitive issues or overlooked details.

Responsibilities Include:

  • Providing administrative support to company president and three brokers
  • Managing a team of virtual assistants, coordinating workflow between brokers and administrative staff 
  • Rigorous maintenance and improvement of filing and organizational systems
  • Supporting vendor and client relations
  • Supporting marketing and new business development 
  • Keeping multiple company calendars organized and up-to-date
  • Conducting a multitude of day-to-day administrative tasks

Qualifications:

  • Proficiency in Google Drive and related Google products
  • Proficiency in Basecamp
  • Experience with Mailchimp
  • Experience in website and database management 
  • Experience with event planning, marketing, and social media campaigns  
  • Ability to multitask and handle change at a moment’s notice
  • Strong organizational and time-management skills
  • Ability to work independently and prioritize
